Database Manager
Job Purpose
The Database Manager is responsible for managing and maintaining the integrity of all data stored in the RMHC Exceed! Premiere database. Understands and utilizes the database to its fullest capabilities to extract information for reports, mailing lists and miscellaneous projects essential to RMHC’s efficiency and effectiveness. Prepares all necessary financial and accounting documents.
Duties and Responsibilities
· Coordinates and supervises all data entry and maintenance of donors, volunteers and guest family information into RMHC database and prioritizes projects to assure timely completion.
· Oversee all donor acknowledgements from foundations, corporations, individuals, direct mail campaigns, and special events; produce and coordinate thank-you letters among staff, board and volunteers to ensure all donors are promptly and appropriately thanked.
· Coordinates data extraction, analysis and processing for all RMHC mailings including direct mail, special events, and donor acknowledgement.
· Evaluate giving records according to donor types and trends to determine opportunities to enhance relationships with donors. Provides detailed reports in a user-friendly, understandable and professional format (via Windows applications, Access, Excel, Crystal Reports, etc.) that staff can use to cultivate and solicit gifts.
· Prepares and assists in the development of fundraising reports to forecast and set fundraising goals and projections as well as reports of monthly progress to goals. Provides input and technical insight necessary to provide meaningful and effective data for reports.
· Create financial report upon culmination of each special event and update master fundraising report.
· Enter MarketCheck canister donations from the M&I direct deposit slips according to store number into Exceed. Process and print out report. Track all information from these entries onto Excel spreadsheet for Accountant by store and pick-up date. This process includes an ongoing report which leads to a quarterly report and finally a yearly report. Also responsible for sending letters as new stores are added to MarketCheck pick-up and send follow-up letter at appropriate time.
· Oversees all financial reporting from database in collaboration with president, vp of development and accountant.
· Evaluate and recommend computer program needs, upgrades, and enhancements to better accommodate the management and utilization of database records.
· Demonstrates initiative in problem-solving and planning. Makes appropriate independent decisions when necessary.
· Serves as the database resource person and liaison for all users. Provides individualized training and refresher services to the staff as needed.
· Maintains knowledge of current trends and developments in fundraising in order to enhance professional expertise by attending professional meetings, reading appropriate journals, etc.
· Writes and maintains the RMHC database coding policies and procedures.
Qualifications
· Extensive skills and knowledge of information systems and computer operations (including Windows, Excel, Access, Crystal Reports and other graphics programs) in a fundraising environment, basic knowledge of networks, as acquired through completion of college level coursework related to computers and combined with three or more years of related experience.
· Requires excellent written and verbal communication skills.
· Accounting experience beneficial but not required.
· Passion for the mission of the Ronald McDonald House.
· Organized and have the ability to multitask.
